Privacy Statement [In the Zone Touring Exhibition]
At-Bristol is responsible for the Touring Exhibition section of www.getinthezone.org.uk. This Privacy statement tells you how At-Bristol will collect, store and use any information you provide to us when you participate in the In the Zone Touring Exhibition and/or create an account online.
By submitting your details, you enable us to provide you with personalised online content. This personalised content may include video footage, images and numerical data as well as e mail address, name, gender and date of birth. Please note that some of the data we collect could give an indication of your underlying health if viewed by a health professional. Should you be concerned by any of your results you should contact your GP.
At-Bristol will collect, store and use any information you provide in accordance with the Data Protection Act 1998.
1) How will you use my information?
We will use this information for a number of purposes:
- To provide you with an account and personalise the content displayed in your profile
- To deal with administrative requests e.g. password reminders or notification of suspension of services
- To send you information and updates about Wellcome, At-Bristol and In the Zone
- To identify the location of users (using IP addresses) or to block disruptive use
- To analyse and evaluate the use of our website and
- To carry out research (any information used for research will be anonymised. This means that the information we collect from you will not be used to identify you)
2) What else will you do with my information?
We will use the personal information you provide to deliver the services you have told us you wish to use or to send you information that you have requested, and we may offer you the opportunity to receive additional information about our activities and those of our partners. You may opt out of this at any time by contacting us.
3) Will you share my personal information with anyone else?
We will keep your information confidential except where disclosure is required or permitted by law (for example to law enforcement agencies).
We have engaged certain third parties to help us provide the In the Zone project and we will share your information with these third parties for the purposes of the project.
The third parties include:
- Wellcome Trust
- GHK (the project evaluators)
Occasionally we may also use a third party to help administrate the website or distribute our publications, but we will agree with those third parties that they will keep your information secure and not use it for other purposes.
4) How long will personal information be kept?
At-Bristol will hold your personal information on the website for the duration of the In the Zone project.
However, anonymised data may be kept indefinitely for research purposes.
5) How do we protect your information?
We use organisational and technical measures to ensure that your personal information is secure and protected from loss, misuse and unauthorised access or alteration.
6) What other information do we collect?
a) IP Addresses
When you visit the In the Zone website our web server automatically records your IP address. This IP address is not linked to any of your personal information.
We use IP addresses to help us administer the site and to collect demographic information for aggregation purposes. We may also gather other non-personal information (information that cannot identify you), such as the type of internet browser you use, which helps us provide you with a more effective service.
When you visit the In the Zone website, your computer will automatically be issued with a cookie. This allows us to remember your activities on our website and saves you from re-entering your details each time you visit the site.
7) What are my rights?
You have the right to ask for a copy of the information we hold about you (for which we may charge a small fee) and to have any inaccuracies in your information corrected.

At-Bristol is a company registered in England (company number 3046496, registered charity number 1049954(‘referred to as ‘us’ in the rest of this section).
The Wellcome Trust Limited is a company registered in England (company number: 2711000) as Trustee of “Wellcome Trust” (a charity registered in England charity number 210183) (“Wellcome”).
It is important that you read these terms and conditions and have your parent(s) or guardian(s) permission before opening an account and giving any personal information to the In the Zone Touring Exhibition.
By providing us with your information and registering your details on our website, you and/or your parent(s) or guardian(s), agree to our terms and conditions, including:
- At-Bristol will collect, store and use all information you provide to us in accordance with the Data Protection Act 1998.
- The security of your personal information depends in part on your protection of the pass which is issued in the exhibition and once you have set up your account, your password. Please look after your pass and do not disclose your account password to anyone.

- If you do not swipe a barcode, or do not create an account or choose to delete your account we will delete your personal information from our servers. We will, however retain your anonymised numerical data for data analysis
Users under the age of 13
Children under the age of 13 are not eligible to create an In the Zone account and must get their parent(s) or guardian(s) permission to register.
Wellcome and At-Bristol does not knowingly allow any person who is under the age of 13 to register for an In the Zone Touring Exhibition account.
If it comes to our attention that we have an account held in the name of a person under the age of 13, we will need to check with your parent(s) or guardian(s) to make sure they are happy for you to provide your information. In these cases, you will need to provide your parent(s) or guardian(s) contact information, usually their email address and telephone number.
Where we cannot carry out these checks, we will delete your information as quickly as possible.
In the Zone allows you to share your profile or personal information using social networking sites. These sites have their own privacy policies and terms for how they use the information you have chosen to share with them. We do not control how they may use your information, and so you should review these policies carefully.
Whenever you voluntarily post personal information in public areas, like social network sites, weblogs, message boards and forums, information can be accessed by the public and can in turn be used by others in unpredictable ways. If we deem your content to be offensive, inappropriate or otherwise objectionable we may use your personal information to remove your content and close your account.
